When you are to send exhibits for a show to Kiev, Ukraine, we will do our best to help with customs clearance.

 

SK-EXPO offers the following options of customs clearance:

  • regime of temporary importation for exhibits (with further re-export after show);
  • regime of final importation for exhibition giveaways (catalogues, brochures, souvenirs etc.)

Send exhibits

There are two ways of cooperation with SK-EXPO:

  1. You may order the full circle service «door-to-door» (including transportation both ways, customs clearance in the countries of departure and destination, handling on-site) using our partner network all over the world.

    There are strong advantages of this way of cooperation:

    • Our partners know the most of specific issues of operation with Ukraine;
    • Professional assistance in your native language while preparing a shipment;
    • One contract with one company covers all services for your exhibition cargo.

    We will connect you with the local partner in your country once you apply to us.

     

  2. You are welcome to establish direct operation with SK-EXPO. In this case you must:
    • Follow our shipping instructions and recommendations, as well as to be responsible for correct issue of shipping documents;
    • Order by yourself & pay for the transportation to Ukraine and back;
    • Be ready to pay for our service.

Deadlines

From very beginning, we strongly recommend to correspond your delivery dates with our arrival deadlines:

  1. Just point the date, when your cargo must be delivered to the exhibition booth.
  2. Take into consideration the following deadlines for cargo arrival to Kiev, Ukraine:

All road-freight must arrive to the customs terminal in Kiev 2 full working days before the date of delivery to the exhibition booth (Kiev Central Specialized Customs House doesn’t work on weekends and holidays). Arrival of road-freight is the moment of truck entrance to the customs terminal in Kiev.

All air-freight must arrive to Kiev International Airport Borispol (KBP) 5 full working days before the date of delivery to the exhibition booth (Kiev Central Specialized Customs House doesn’t work on weekends and holidays). Arrival of air-freight is the moment, when shipping documents become available for processing at the information desk of Kiev International Airport «BORISPOL» (KBP).

All sea-freight arriving to the ports of Ukraine must be reloaded to the truck(s) at shipper’s expense and delivered to the customs terminal in Kiev 2 full working days before the date of delivery to the exhibition booth (Kiev Central Specialized Customs House doesn’t work on weekends and holidays). Arrival of sea-freight is the moment of container truck entrance to the customs terminal in Kiev.

Besides, customs clearance is carried out at Martusovka village, Moyseeva, 72, from Monday to Friday, from 9:00 to 17:00.

Customs clearance on weekend and holidays is possible only with the special order (request 14 days before) in exclusive cases and with extra charges to be paid.

 

Please, make your date estimations with reference to the Ukrainian official holidays, when customs clearance is not provided. It is a law in Ukraine that if a particular holiday falls on a Saturday or Sunday, then the following Monday is an official holiday. We have provided a list of the eight main national holidays celebrated in Ukraine each year to help you make better cargo arrangements.

  • January 1 – New Years Day
  • January 7 – Christmas
  • March 8 – International Women’s Day
  • In April – May (please, clarify for certain year) – Easter
  • May 1 & 2 – Day of International Solidarity of Workers/Labour Day
  • May 9 – Victory Day
  • In June (please, clarify for certain year) - Holy Trinity Day (Celebrated on the 49th day after Easter)
  • June 28 – Constitution Day
  • August 24 – Independence Day

 

!NB! We kindly ask to contact us minimum five working days before shipping of cargo (with the aim of having enough time for all the issues).

Paperwork

Before your cargo had moved for Kiev it is necessary to receive a confirmation that SK-EXPO is ready to make customs clearance for your goods. For this we have to obtain some information about your exhibits:

  • kind of goods;
  • customs codes;
  • quantity;
  • weight per article position (net & gross);
  • value per article position in USD or EUR;
  • regime of importation (temporary or final).

The best way of letting us know about these issues is to fill-in proforma-invoice (which is an invoice and packing list combined in one document).

After proforma-invoice is filled-in, please, be so kind to send it by e-mail to: info@sk-expo.com.

 

During one working day you will get an answer with:

  • cooperation opportunities;
  • service contract to be signed;
  • calculation of costs;
  • proforma-invoice checked & ready for shipping or comments on it.

Pre-alerts & GO

When your cargo is ready for shipping, please, make the official pre-alert to SK-EXPO before the departure of cargo.

Pre-alert allows final checking of all shipping documents.

Pre-alert is obligatory, as it is a final chance to correct mistakes and add some missing information.

 

Pre-alert for road-freight must include:

  1. CMR (international road-freight waybill) filled-in strictly in accordance with SK-EXPO instructions;
  2. Carnet TIR;
  3. Proforma-invoice signed & stamped;
  4. Pre-alert letter for road-freight. (Download sample)

 

Pre-alert for air-freight must include:

  1. AWB (international air-freight waybill) filled-in strictly in accordance with SK-EXPO instructions;
  2. Proforma-invoice signed & stamped;
  3. Pre-alert letter for air-freight. (Download sample)

 

Pre-alert for sea-freight must include:

Show document list

  1. Bill of lading (international sea-freight waybill) filled-in strictly in accordance with SK-EXPO instructions;
  2. Proforma-invoice signed & stamped;

!NB! While shipping by sea all the originals (bills of lading, proforma-invoices, certificates of origin, safety certificates and other) must be delivered directly to the agent in the Ukrainian port of arrival. Port processing of cargo without originals is impossible.
